Pastel email Invoice or Statement Setup

From Pastel Xpress or Partner, it is possible to email invoices or statements to customers directly, either in PDF format [the default] or HTML.

Please note the following conditions must be met:

  • For Windows 8, 8.1, 10 you can use Windows Live Mail (replaced Outlook Express), Microsoft Outlook or Thunderbird.
  • For Windows 7 you can use Windows Live Mail (replaced Outlook Express) or Microsoft Outlook, Thunderbird.
  • For Windows Vista and Windows 7, you must be running Pastel 2009 Build 10.2.4 or newer
  • For Windows XP, the facility will only work with Microsoft Outlook or Outlook Express

To do this, first, make sure to capture each customer’s email address into Sage Pastel.
Go to Edit>Customers>Accounts and then insert the email address in the appropriate field under the General tab and save.

Make sure the mail software that you use is set as the default mail software under your operating system

For Invoices

Go to View>Customers>Print Document>Tax Invoice. Then change Print to, select “Email” and continue as usual, your software may ask if you want to continue to give access, click Yes

For Statements

Go to the Processing tab for each customer and, at the bottom right-hand corner, where it says “Statements” and then “Printing”, select the option “Print and Email Statement” or “Email Statement”.
Finally, to actually email the Statements, go to View>Customers>Monthly/Periodic>Statements. Then change Output Option to “Email as per Customer File” and click on OK. On the next screen, ensure that “Email Settings” is activated and then select either HTML or PDF. Then click on OK, and your emails will be placed into the Outbox of your mail client.

Pastel complies with SARS regulations regarding electronic documents. PDF invoices are encrypted with 128-bit technology and have the words “Computer Generated Document” printed on the invoices.

How do I disable the Outlook warning message when emailing out of Pastel?

It is possible to do this by disabling some security features but you are possibly opening yourself up to greater malware risk. Rather try the other solutions first rather than changing the Outlook Security Settings

For Outlook 2000, 2002, 2003

Download Express ClickYes from here – it will run in the background and auto-clicks the “click yes” routine in a flash!
Once you have installed ClickYes, you will see it in your system tray. Right-click on the icon and make sure that only the “Start on Logon” option is ticked.

For Outlook 2007, 2010, 2013, 2016

Express ClickYes won’t work but if you don’t mind paying download ClickYes Pro 2010 from here, it has a 30 trial period, costs $20 for personal & $40 for commercial use.

You can download vbMapi here, free for personal use, I’m not sure how to set this up.

To get Outlook working on 64-bit Windows

If you are using a 64-bit version of Windows, this is the solution. Not which version this will work up until.

Works for Partner 12.1.6

  • Make sure Pastel is closed
  • Either browse your Pastel CD/DVD x:\Util\Outlook 64-bit\ copy NewMail.dll paste it into c:\Program Files (x86)\Common Files\Softline Pastel\ – you’ll be asked if you want to replace the existing file, select yes.
  • or download the file from my OneDrive or Dropbox account here [Close the pop-up asking you to register with the X in the top right corner.].
  • Now you need to register the DLL file by clicking on Start then Run, and type in

regsvr32 “C:\Program Files (x86)\Common Files\Softline Pastel\NewMail.dll”

You can unregister with the /u switch after the command.

You should get a message confirming success.

If this fails, please ensure that you are logged in as a Windows administrator or alternatively, enter the command from an elevated Command Prompt.

  1. Hi Jan, I’ve reworked the article a bit, to clarify it. Pastel emailing will work with other mail software depending on your version of Windows, see the article for the list. It is only Outlook on a 64bit system that needs to be “fixed”.

  3. Do you use “Click-yes” either the Free or the Pro version? After the upgrade to Pastel Accounting ver 14.1.4, running on a Windows 2012R2 server via RDP, the mailing process failed completely. I was told to install a version of newmail.dll that I was sent by Pastel Support that was 68kb in size. I was told to place this in the C:\Program Files (x86)\Common Files\Sage Pastel folder. Since then we have been able to mail but the CLick-Yes has not worked since then.

    I updated my Outlook 2016 and now I get an error when trying to send an invoice directly from Pastel saying ” Cannot send e-mail. Please check the email address and/or account settings.”

    I am running Windows 32 bit and Outlook 2016 32 bit and use Pastel Xpress.

  6. Good day, If I have to send a 1000 statements, it sends the statement to outlook, then I have to click on each one individually to send it. Is there a quicker way?

  14. How do I send an UNPROTECTED pdf invoice in Pastel Xpress via email?

    My clients receives their statements but as soon as I send the invoices they either don’t receive it or it ends up in the spam folder and they don’t look there.

    And according to my sent folder in outlook it says that it was sent.

  18. Hi I was emailing Statements all fine – and now they just do not go – I even tried sending one BCC to myself. Nothing is going but invoices are still able to be sent? Any suggestions please

    Im working on Pastel partner V17.
    When I email invoices to my customers, no problem,

    But emailing statements is a problem.
    The email go straight to send box in outlook without sending it to the custmers. It doesnt go through my “outbox”

    With the new vat at 15 % I recently had to update my sage pastel express start up to Pastel express to 14.2.2

    I used to be able to email statements from the email tab. I also had the option of changing email addresses but now I have to select “Email as per Customer File” This is so time consuming.
    My logo also disappears when emailing this way.

    Why is the email tab grey when I view a customer statement. I would like to view each stateent first & then email directly while viewing the statement. Is there a way? Most other documents in Pastel can be mailed directly from viewing it/
